May I have some help with a mental library?

Hello there everyone! My name is Sgt. Hermes, curently working towards the goal of becoming a Ltn.

But there is something that caught my attention.
In the army, we need to constantly keep an inventory of everything our squad has, needs or wil have, everything must be at hand and I must be read to give a full report to my superior officers.
I spoke to some HR officers and they say that it is just easier to keep everything on a notebook and just keep it updated, but I think we could put our brains into some work here! And thats great because the greatest asset a soldier has is his mind and rifle.
So I came here, to ask for this wonderful comunity, that surely has wayyyyy much more experience than I do, to help me into creating a logical and straight foward way of keeping the tracks of everything, because the main problem here is not to create loci, or to remember them, the problem is how to keep track of 1000+ loci without cramming the head with loads of information.

I thought of buying a notebook and just writing down some descriptions of those loci and then creating a bigger picture, where I could point out some big stuff, just to keep a track of where are minor things....
What you guys think about it?

When you got lot information whether speech, reading, searching or anything, you automatically create one book inside your brain that summarize everything you learn.

1. Make note first like a child book.
I need to memorize seven subject book for next month exam. So, I make a note first. I mean a short note. For example,
real information : "Four basic elements is fire, earth, wind and water."
short note : "Basic ele- f, e, wi, wa.

real information : "Every living thing create from 3 structure with is body, mind and soul."
short note : "Live man - body, mind, soul."

real information : "The FN Five-seven, trademarked as the Five-seveN, is a semi-automatic pistol designed and manufactured by Fabrique Nationale d’Armes de Guerre-Herstal (FN Herstal) in Belgium."
short note : "FN - Five-Seven = semi-automatic pistol - Fabrique Nationale d'Armes de Guerre-Herstal = Belgium."

You don't have to write thing you already know. About element I already know that so I don't memorize it. About living thing I only know half of it so it little long then element. About gun FN is new information for me so it longest note.

The point here was to write what you don't know or scare to forget it. Let's say you have to remember this.
Real information : "Soldier A had rifle and need to a new ammo. Soldier B lose get shot and need a medical fast. Soldier C weaken and need 2 ration for stamina."

Short note : " A - ammo, B - left leg-shot - medic base 7, C - 2 food."

See what I mean. Make a short note first.

2. Build mind palace first hand.

Actually there is a way other than mnemonic or mind palace. I still jealous how soldier or police remember everything happen in scene in split second (maybe 2-5 seconds).

For this you need to search other forum or blog in this website. Try search this,
RGB System, memorize text book.

Every time you encounter new information just put in mind palace right away. Get ready before going to class or mission. The situation I relate when I had to remember whole character profile when I first meet them(since I forgetful when come to remember name). I put the name and face in already build mind palace. Then put rest at loci about their age, job, hobby, appearance and so on.

I like that sentence, "The greatest soldier is his mind and rifle."
My life principle, "Conquer everything."
